TTR is governed by a five-person elected Board of Directors, supported by six standing committees that manage the day-to-day operations of the club. Every decision we make is guided by our bylaws and our commitment to growing touch rugby in Toronto.

Board Roles

The Board of Directors consists of five elected positions. All Board members must attend at least one TTR-led event per month (or six events in six months) and sit on or chair at least one standing committee.

President

2-Year Term

Provides strategic leadership and direction to the Board and the organization, ensuring TTR fulfills its mission and operates in accordance with its bylaws and policies.

Key Responsibilities

  • Chair all Board and general meetings efficiently and in accordance with TTR's bylaws
  • Provide leadership to the Board, fostering collaboration, transparency, and accountability
  • Serve as the primary spokesperson and representative of TTR
  • Build and maintain relationships with governing bodies and community partners
  • Work with the Treasurer to develop and present the annual budget
  • Oversee all operations of TTR, ensuring alignment with the organization's mission
  • Lead Board development and succession planning efforts
  • Represent TTR at Touch Canada meetings and external forums
Eligibility: Member in good standing for at least 1 year  ·  Minimum 18 years of age  ·  Must sit on and/or chair at least one committee  ·  Must attend a minimum of one (1) TTR-led event per month, or six (6) events in the last six months

Vice President

1-Year Term

Supports the President in providing strategic leadership, assumes presidential responsibilities in their absence, and oversees the work of assigned committees.

Key Responsibilities

  • Assist the President and serve as a sounding board on key organizational issues
  • Assume presidential responsibilities in their absence, including chairing meetings
  • Oversee assigned committees and report on their progress to the Board
  • Serve as liaison between committees and the Board
  • Contribute to strategic planning and organizational development
  • Represent TTR to external stakeholders as requested
  • Support Board development and mentor new Board members
  • Identify and assess organizational strengths, weaknesses, and opportunities
Eligibility: Member in good standing for at least 1 year  ·  Minimum 18 years of age  ·  Must sit on and/or chair at least one committee  ·  Must attend a minimum of one (1) TTR-led event per month, or six (6) events in the last six months

Secretary

1-Year Term

Ensures TTR maintains accurate and complete records of its governance and operations, and plays a key role in communication between the Board, committees, and membership.

Key Responsibilities

  • Record and distribute accurate minutes of all Board and general meetings
  • Maintain a central repository of all TTR official documents, bylaws, and contracts
  • Prepare and distribute meeting agendas and materials in consultation with the President
  • Manage TTR's membership database, including contact info and payment records
  • Process membership applications and renewals, communicating status to members
  • Draft, review, and distribute official correspondence on behalf of TTR
  • Maintain a calendar of key governance events and filing deadlines
  • Ensure TTR complies with its bylaws and the Canada Not-for-profit Corporations Act

Treasurer

1-Year Term

Oversees the financial management and reporting of TTR, ensuring the organization's resources are used effectively, efficiently, and in accordance with its mission and legal obligations.

Key Responsibilities

  • Chair the Finance Committee and develop and implement financial policies
  • Develop the annual budget in consultation with the Board and present it at the AGM
  • Prepare and present quarterly and annual financial statements to the Board
  • Ensure all financial transactions are recorded accurately in accordance with GAAP
  • Serve as one of TTR's two signing officers alongside the President
  • File required tax returns and regulatory filings to maintain compliance
  • Oversee management of TTR's bank accounts and financial assets
  • Liaise with TTR's independent auditor on the annual review engagement
Eligibility: Member in good standing for at least 1 year  ·  Minimum 18 years of age  ·  Required to chair the Finance Committee  ·  Must attend a minimum of one (1) TTR-led event per month, or six (6) events in the last six months  ·  Financial literacy strongly recommended

General Board Member

2-Year Term

Contributes to effective governance by providing institutional knowledge, a member-focused perspective, and continuity to Board deliberations. Reserved for long-standing TTR members.

Key Responsibilities

  • Attend and actively participate in all Board meetings and vote on resolutions
  • Provide historical context and institutional knowledge to inform Board decisions
  • Serve as a champion for TTR's mission and values across the organization
  • Act as liaison between the membership and the Board
  • Help orient and mentor new Board members on TTR's culture and operations
  • Serve on Board committees as assigned and support their work
  • Participate in special projects and initiatives as directed by the Board
  • Help identify and recruit potential candidates for future Board positions
Eligibility: Member in good standing with active participation in TTR for at least three (3) years  ·  Minimum 18 years of age  ·  Must sit on and/or chair at least one committee  ·  Must attend a minimum of one (1) TTR-led event per month, or six (6) events in the last six months
Standing Committees

Committee Roles

Committees are where the real day-to-day work of TTR gets done. Each committee reports to the Board monthly and is open to all TTR members. Getting involved in a committee is the natural first step toward Board leadership.

High Performance Committee

Develops and executes strategies to enhance the skill level and competitive success of TTR's players and teams at local, regional, and national levels.

Responsibilities

  • Develop and implement annual training plans for TTR's representative players
  • Identify, recruit, and appoint qualified coaches for performance programs
  • Plan and manage an annual competition calendar including travel events
  • Identify and develop high-potential players for national pathways
  • Evaluate program effectiveness and report monthly to the Board

Referee Development Committee

Recruits, trains, and supports referees for TTR's leagues, tournaments, and events, promoting refereeing as a key and rewarding part of the sport.

Responsibilities

  • Recruit and retain referees and maintain a database of qualifications and availability
  • Develop and implement annual referee training and mentorship programs
  • Coordinate referee assignments across TTR leagues and events
  • Maintain TTR's referee policies, standards, and codes of conduct
  • Identify high-potential referees for advancement to regional or national events

Youth Development Committee

Promotes the growth of touch rugby among Toronto youth, building school partnerships and creating pathways into the senior game.

Responsibilities

  • Develop and deliver annual youth programs including leagues, clinics, and camps
  • Build partnerships with schools and community organizations
  • Recruit and train coaches, referees, and volunteers for youth programs
  • Create pathways for talented youth to progress into TTR's senior programs
  • Develop retention strategies including social events and mentorship opportunities

League Committee

Plans, organizes, and executes TTR's adult house leagues, ensuring they are well-managed, competitive, and enjoyable for all participants.

Responsibilities

  • Develop the annual league plan including divisions, formats, and scheduling
  • Secure facilities and coordinate referee assignments with the Referee Committee
  • Oversee the player and team registration and rostering process
  • Monitor and enforce league rules, codes of conduct, and eligibility requirements
  • Manage league fees and coordinate procurement of uniforms and equipment

Finance Committee

Chaired by the Treasurer, this committee oversees TTR's financial health and ensures responsible stewardship of the organization's resources.

Responsibilities

  • Review financial statements and monitor performance against the annual budget
  • Develop and maintain TTR's financial policies and procedures
  • Identify and assess financial risks and develop mitigation strategies
  • Support the Treasurer in preparing for the annual audit or review engagement
  • Advise the Board on financial aspects of strategic decisions and initiatives

Pickup Committee

Plans, organizes, and promotes TTR's casual pickup sessions, providing welcoming, informal opportunities for players of all skill levels to enjoy the sport.

Responsibilities

  • Develop the annual pickup schedule including locations, formats, and session types
  • Oversee registration and sign-up processes for pickup participants
  • Foster a welcoming, inclusive, and fun environment at all sessions
  • Coordinate session setup, staffing, facilitators, and equipment
  • Develop strategies to grow participation and attract new players
